Roster—Add Participant Names to Roster

Roster

There are three ways to enter names into the Roster: import names from an Excel spreadsheet, type names in manually and browse in names from another roster.

To import names from an Excel spreadsheet:
  1. Prepare a spreadsheet with the following column headers: LastName, FirstName and Email. Save the file to a location on your computer that allows easy access when importing the names into the roster. (Note: Whenever possible, ask the client [internal or external] to provide the information in a spreadsheet.) Your spreadsheet will look like this:

NOTE: The sheet name in this file (located in the lower left corner of the worksheet) must be Sheet1. To change the spreadsheet name, right-click and choose Rename. Type Sheet1 into the box.

IMPORTANT: Also make sure that cells A1, B1, and C1 are the column headers LastName, FirstName and Email respectively. Any other text in these cells will prevent the roster from importing correctly. Be sure to use the words as shown with no space and no dash.

  2. Click the link: Click here to import names from a file.

  3. Choose your roster. In this example, it is Roster.xls and click Open.
  4. The Import Participants screen appears.

  5. Click All or click the box next to individual names.
  6. Click Import.
  7. The names appear in the roster.
     
To type in names manually:
  1. Click the + (Add) icon or click, Click here to create a NEW participant.
  2. The New Participant screen appears.

  3. Enter the participant information. In this example, Waterman is in the Last Name field, and Alexis is in the First Name field. Enter a valid email address.
  4. Click OK or press <Enter>.
     
     
To browse in names from another roster:
  1. Click the Browse icon on the tool bar.
  2. At the Rosters folder, double-click the roster name.
  3. Click All or click the box next to individual names.
  4. Click Import.
