System Manager—Folders and Files in System Manager

Screen 9

Resources Folder – This folder contains all the information and data in 20/20 Insight.

Advanced Report (Not available in Surveys for Small Business) – Advanced Reports allow you to combine data from multiple projects in order to aggregate data across several projects. You can print summary information, overall project averages and compare data for subjects in different projects.

In addition, you may compare data between assessments. For example, you may compare the results from this year’s assessment to last year’s assessment to track an individual’s performance from one assessment to the next.

For information regarding creating advanced reports, please refer to the section entitled, Advanced Reporting.

Projects – A project is an administration of feedback defined by who or what is being assessed (subjects), who is giving the feedback (respondents), and what the feedback is about (survey items and scales).

You will create new project files (or duplicate projects using the project template) and store them in the Projects folder. All projects are created, setup and deployed through Project Manager.

Rosters – Create and store your rosters in this folder. A roster is a master list of participant names. You may create as many different rosters as you need, for many different purposes. For example, you may want a separate roster for each company department, division or location. Each roster can contain an unlimited number of names.

Names from rosters are browsed into projects in Step 1 of the project. Creating rosters in System Manager allows for easy access to the names from any project.

Survey Library (Some features not available in Surveys for Small Business) – The Survey Library is a rich resource that contains dozens of categories with survey items, also known as behaviors. This library was developed by experts in each field, and can be used to assess people on many different skills. The surveys are stored in the Survey Library folder.

The Survey Library contains four folders:

  • Individual Survey Areas – This folder contains surveys relating to individual development, such as Personal Leadership, Team Leadership and Executive Leadership.
  • Team and Organization Survey Areas – Surveys relating to team and organization development, such as Team Effectiveness, Organizational Climate, and Customer Satisfaction may be found in this folder.
  • Vital Learning Survey Areas – This folder contains surveys related to Vital Learning Corporation’s Leadership Curriculum training modules.
  • Your Survey Areas – You will create and store your customized surveys in this folder.

The Survey Library is organized by job function and contains the following components:

  • Survey Item – A statement describing a specific observable behavior, such as, Offers suggestions and ideas to coworkers.  A group of survey items makes up a survey category.

  • Survey Category – A topic within a survey area that is more focused, such as, Innovative Problem Solving or Resolving Conflict.  A group of categories makes up a survey area.

  • Survey Area – Similar survey categories grouped into a broad topic area, such as Personal Leadership, Sales Management or Organizational Climate.

Relationships File – A relationship is a phrase that describes the association of the respondent to the subject. Assessment data is grouped by respondent relationships when feedback reports are printed. 20/20 Insight contains ten standard respondent relationships within System Manager.

Many organizations use relationships to refer to job titles. However, relationships can also describe how respondents are related to an entity. For example, in an Organization Climate Survey, relationships may describe the departments in the organization, such as Sales, HR and Shipping.

For information regarding using and customizing relationships, please refer to the chapter entitled, Relationships.

Scale Library – Scales are the unit of measure for a feedback project, and apply to all the items within a project. A scale includes a question stem, stem descriptors and a range of numeric ratings. You can use the standard scales that come with 20/20 Insight, or you can create customized scales and store them in the Scale Library.

Usually you’ll assign only one scale to a project. However, some organizations may want to use two scales in a project to get different perspectives. For example, to assess how strongly people agree that the subject performs the skills well, and then, to assess how important the skills are to the subject’s effectiveness. 20/20 Insight comes with five standard scales: Satisfaction, Importance, Agreement, Frequency and Expected Frequency.

For information regarding using and customizing scales, please refer to the chapter entitled, Scales.
